First, congrats! You’ve decided to take a well-earned vacation. You deserve the time off!
This is where the stress starts to creep in. The small but growing feeling that you have to maximize your time off and spend every minute doing amazing Instagrammable things. It’s a lot of pressure, right? Stop! It doesn’t have to feel this way. Read on to learn how to take the pressure off and actually enjoy planning a trip.
Start With Goals
Defining your travel goals is a crucial first step in planning a meaningful and fulfilling trip. Determine the purpose of your trip – whether it’s leisure, business, exploration, or relaxation. Understanding your goals helps shape the rest of your planning process, from destination selection to daily activities.
Here are practical tips to help you articulate and clarify your travel objectives:
Identify Your Purpose
Determine the primary reason for your trip. Is it for leisure, adventure, relaxation, cultural exploration, business, or a combination of these? Understanding the core purpose will shape the rest of your travel decisions.
Consider Your Interests
Reflect on your interests and passions. Are you a history enthusiast, an adventure seeker, a nature lover, or someone who appreciates art and culture? Your interests will guide you to destinations that align with your preferences.
Explore New Experiences
Think about the experiences you want to gain from your trip. It could be trying new cuisines, engaging in outdoor activities, immersing yourself in local culture, or simply unwinding in a serene environment. Defining these experiences helps set the tone for your itinerary.
Set Personal Milestones
Consider if there are personal milestones or achievements you’d like to accomplish during your trip. This could include conquering a hiking trail, learning a new skill, attending a significant event, or even dedicating time for personal reflection.
Evaluate Previous Travel Experiences
Reflect on your past travel experiences. Identify elements you enjoyed and those you would like to incorporate into future trips. Learning from past adventures can refine and enrich your travel goals.
Be Open to Change
Keep an open mind and be flexible. While it’s essential to have goals, allow room for spontaneity and unexpected discoveries. Embrace the possibility of adjusting your plans based on the unique opportunities each destination presents.
By considering these factors, you can articulate clear and personalized travel goals, paving the way for a well-planned and fulfilling journey.
Choose a Travel Destination
Consider your interests, preferences, and the type of experience you want. If you enjoy history, art, and architecture, consider culturally rich destinations. If you’re a nature enthusiast, opt for scenic locales. Research potential destinations, taking into account factors like weather, safety, and travel restrictions based on the time of year you want to travel. Consider the diversity of activities a destination offers to ensure it aligns with your expectations.
Think about who you will be traveling with. Are you going solo – allowing you to be more adventurous and on the fly? Or maybe you’re going with your parents to celebrate their 40th wedding anniversary, so long walks would be out of the picture. Whichever adventure you are planning, make sure to consider if it will accomodate the needs of who you travel with.
Pro tip: Feeling adventurous? Open a map of the general region you think you want to visit, close your eyes, and point!
Set a Travel Timeline
Decide on your travel dates, considering factors such as peak seasons, weather conditions, and any special events at the destination. Flexibility in your travel dates can often result in better deals on flights and accommodations.
Pro tip: Be mindful of public holidays or major events that might impact your plans. We went to Cinque Terre on Memorial Day weekend. It was the first year post-COVID that Cinque Terre was mostly open to visitors, and it was also a French holiday. Talk about crowds! It was overwhelming.
Pro tip: Check out websites, like SkyScanner or Going (formerly Scott’s Cheap Flights) to find the best deals if you are flexible on your dates.
Book Transportation
Once you have concrete dates, book your transportation as early as you can. Waiting to the last minute does not always equal a better deal. In many cases, you may end up paying more! We waiting too long to book a rental car when we went to The Open in Scotland. We weren’t thinking that everyone else may want to rent a car, too. After scouring the internet for options, we got lucky in the end. But we were almost stuck with a two-seater white van for four people as our only option!
Flight Search Engines
Utilize online flight search engines like Skyscanner, Google Flights, or Kayak to compare airfares from various airlines. These platforms often provide flexible date options and can help you find the most cost-effective and convenient flights.
Airlines’ Official Websites
Once you identify suitable flights on search engines, visit the official websites of the airlines to check for exclusive deals, promotions, and potentially lower fares than those offered through third-party platforms.
Travel Agencies
Consider consulting with travel agencies, especially for complex itineraries or if you prefer personalized assistance. Travel agents can often secure package deals that include flights, accommodation, and transportation at competitive rates.
Train and Bus Services
For regional or domestic travel, explore train and bus services. Platforms like Trainline and Omio can help you find and book train and bus tickets across various countries and regions.
Car Rentals
If you plan to explore your destination independently, consider renting a car. Websites like Rentalcars.com and Hertz offer comparisons of rental options, allowing you to choose vehicles based on your preferences and budget.
Public Transportation
Research the public transportation options available at your destination. Many cities have efficient and affordable public transit systems, such as buses, trams, and subways, providing easy access to key attractions.
Travel Packages
Explore travel packages that include transportation, especially if you’re booking a package deal for an all-inclusive resort or cruise. These packages may offer better rates for combining multiple travel components.
Frequent Flyer Programs
If you frequently travel with a specific airline, consider joining their frequent flyer program. Accumulating miles can lead to discounted or even free flights, providing significant savings over time.
Travel Credit Cards
Some credit cards offer travel rewards and benefits, including discounts on flights, rental cars, and accommodation. Consider using a travel credit card to accumulate points or miles for future trips.
Local Transportation Apps
Research local transportation apps at your destination. Many cities have dedicated apps for taxis, rideshares, or public transportation, making it easy to navigate and plan your local commute.
By combining these methods and considering your specific travel needs, you can find transportation options that align with your preferences, budget, and the overall logistics of your trip.
Find Accommodations
Finding accommodations in a new city requires careful consideration of your preferences, budget, and the type of experience you seek. Here are practical steps to guide you in the process:
Determine Your Budget
Establish a budget for accommodation, taking into account your overall travel budget. This will help narrow down options and prevent overspending.
Define Your Preferences
Consider your preferences in terms of accommodation type, such as hotels, hostels, vacation rentals, or boutique guesthouses. Think about the amenities and services you prioritize, such as Wi-Fi, breakfast, or a fitness center.
Choose a Convenient Location
Research the city and identify neighborhoods that align with your preferences. Choose a location that provides easy access to key attractions, public transportation, and amenities.
Whenever we would visit Paris, we would stay at a hotel with a metro entrance right outside that connected us to the destinations we wanted to visit. Even though we selected a hotel by an integrated metro stop, it would still take 45 minutes to get across the city. All that time to and from adds up, taking away from being able to see things during your trip.
Read Reviews
Prioritize accommodations with positive reviews from previous guests. Reading reviews provides insights into the experiences of others and helps you gauge the quality and reliability of a property.
Pro tip: don’t heavily weigh negative reviews. People have different expectations for what they want in a travel experience. What someone complained about may not matter to you.
Consider Accommodation Packages
Some travel platforms offer accommodation packages that combine flights and hotels, providing potential cost savings. Explore these options to see if they align with your travel plans.
Check Official Websites
After identifying potential accommodations on booking platforms, visit the official websites of the hotels or rental properties. Sometimes, direct bookings can offer better rates or additional perks.
Pro tip: We found this was the case more often than not when traveling throughout Europe! We avoided booking anything on third-party websites and worked with the hotel directly. It made our travels seamless.
Consider Alternative Accommodations
Explore alternative accommodation options, such as vacation rentals, guesthouses, or boutique hotels. These can offer unique experiences and sometimes be more budget-friendly than traditional hotels.
Our happiest accident was when we unknowingly booked a bed and breakfast in Iceland. Uxi was the most amazing host and created memories for us that will last a lifetime.
Check Cancellation Policies
Review the cancellation policies of potential accommodations. Ensure they align with your flexibility needs and account for unforeseen circumstances that might necessitate changes to your travel plans.
Use Travel Forums and Blogs
Seek advice from travel forums and blogs (hello, we are glad you are here!). Fellow travelers often share personal experiences, recommendations, and tips for finding the best accommodations in specific cities.
Book in Advance, Especially in Peak Seasons
Secure your accommodation well in advance, especially if you’re traveling during peak seasons or to popular destinations. This ensures a wider selection and avoids last-minute availability challenges.
Verify Payment and Security
Before making a reservation, verify the payment methods accepted and ensure the website is secure. Protect your personal and financial information by booking through reputable and secure platforms. If it seems too good to be true, it probably is!
Create an Itinerary
Creating a detailed travel itinerary involves several considerations, but here are the top five things you need to know:
Destination Research
Understand your destination thoroughly. Research key attractions, local customs, weather conditions, and transportation options. This knowledge forms the foundation of your itinerary and ensures you make informed decisions.
One of the best apps we used during our trips to well-known destinations was GPSmyCity. We purchased the app and it gave us access to various self-guided walking tours. It was a way to easily find out the highlights of each area and where they were in relation to each other.
Prioritization and Realistic Timing
Prioritize activities based on your interests and allocate realistic time frames. Check the opening and closing times of attractions, museums, and restaurants. Plan your visits to popular sites during their less crowded hours.
Additionally, account for travel time between activities, whether by public transportation, walking, or driving. Include buffer time for unexpected delays. Be realistic about the time each activity will take.
Pro tip: Consider local customs, traditions, and daily routines when planning your schedule. Some places may have specific times for certain activities or cultural practices. (Spain really does shut down in the afternoon for a siesta!)
Accommodation Selection
Choose your accommodation strategically. Consider its location in relation to key attractions and factor in travel time. Your choice of accommodation can significantly influence your daily schedule.
Flexibility and Free Time
Avoid overloading your schedule to allow for a more enjoyable and relaxed experience. Incorporate flexibility into your itinerary and allocate free time for unplanned activities, relaxation, or spontaneous exploration. This flexibility enhances your ability to adapt to unforeseen circumstances or opportunities.
We love to plan, and my husband even has itineraries down to the hour. However, he always makes sure to have flexibility added in if we see something new we want to experience.
Utilization of Technology
Embrace technology to enhance your planning. Utilize travel apps for navigation, language translation, and real-time information. Stay organized by creating a digital or printed itinerary with all essential details.
When traveling in Europe, Citymapper was one of our most-used apps to help us navigate through each city’s public transportation. It’s not available everywhere, but definitely a must download app before you travel.
Pro tip: Use Google Maps to download an offline map of the city you are going to visit. This will allow you to navigate to different places even without cell service.
Pack Smart
Packing smart is a crucial aspect of trip planning, ensuring you have everything you need while keeping your luggage manageable. Here are some tips to help you pack efficiently:
1. Plan Based on the Destination and Activities: Consider the climate, culture, and activities of your destination. Check the weather forecast and research any dress codes or cultural norms. Tailor your packing list to the specific demands of your trip, whether it’s a beach vacation, city exploration, or outdoor adventure.
2. Create a Packing List: Start with a comprehensive packing list. Divide it into categories such as clothing, toiletries, electronics, documents, and essentials. This list helps you organize your thoughts and ensures you don’t forget anything crucial.
3. Pack Mix-and-Match Clothing: Opt for a mix-and-match wardrobe to maximize outfit combinations with fewer items. Choose versatile pieces that can be dressed up or down, and stick to a color scheme to enhance coordination. This strategy minimizes the number of clothing items needed.
4. Roll, Don’t Fold: Rolling clothes instead of folding them can save space and reduce wrinkles. It also allows for better visibility of your items when unpacking. Consider using packing cubes to further organize and compress your clothing.
5. Use Travel-Sized Toiletries: To save space and comply with airline regulations, invest in travel-sized toiletries. Alternatively, transfer your favorite products into reusable travel containers. Remember to pack items like toothpaste, shampoo, and sunscreen to avoid last-minute purchases. We spent over $30 for a small tube of sunscreen one time!
6. Pack Essentials in Your Carry-On: Place essential items such as medications, travel documents, a change of clothes, and valuables in your carry-on. This ensures you have immediate access to crucial items, especially in case of lost luggage or delays.
7. Utilize Packing Aids: Consider using packing aids like compression bags for bulkier items. These aids help compress clothing, making more space in your suitcase. They can also keep clean and dirty clothes separated during your trip.
8. Check Luggage Restrictions: Be aware of airline luggage restrictions to avoid extra fees or hassles at the airport. Weigh your suitcase before heading to the airport, especially if you plan to shop during your trip. Some airlines allow a personal item in addition to your carry-on, so maximize this allowance.
9. Pack for Comfort and Practicality: Prioritize comfort and practicality when packing. Choose comfortable shoes suitable for walking, and pack a day bag for outings. Think about the activities you have planned and pack accordingly, whether it’s a swimsuit for a beach day or hiking gear for an outdoor adventure.
10. Consider Laundry Options: If your trip involves a longer stay, research laundry options at your destination. Packing a small supply of laundry detergent or travel-sized stain remover can also be handy for quick clothing refreshes.
11. Be Mindful of Electronics: Pack electronics and their chargers in a dedicated electronics bag to keep everything organized. Consider a portable charger to ensure your devices stay powered throughout your travels.
12. Leave Room for Souvenirs: If you anticipate buying souvenirs during your trip, leave some space in your suitcase or consider bringing a collapsible bag for additional storage. This prevents the need to purchase an extra bag during your travels.
By following these packing strategies, you’ll not only ensure you have everything you need but also make your travel experience more convenient and enjoyable.
Take Care of Finances
Inform your bank of your travel dates to avoid any issues with credit/debit cards. Be aware of any foreign transaction fees associated with your credit or debit cards. Choose cards with lower or no foreign transaction fees to save on additional costs.
Once you arrive to your destination, you can get caught up in the awe of it all. Establish a daily spending limit based on your budget. This helps you stay within financial boundaries and prevents overspending, especially in destinations where expenses can quickly accumulate.
While credit cards are widely accepted, carrying some local currency for small expenses or in case you encounter places that don’t accept cards is advisable. However, avoid carrying large amounts of cash for security reasons. You can typically get cash out of an ATM after you arrive (avoid Euronet for the high fees). Familiarize yourself with the currency exchange rates and, if necessary, consider exchanging currency before your departure (we never did this, but I know my parents did for peace of mind).
Pro tip: Have a plan for handling financial emergencies. Know how to contact your bank or credit card company in case your cards are lost or stolen. Carry contact information for your embassy or consulate as well.
Ensure Health and Safety
Check if vaccinations or health precautions are necessary for your destination. Schedule any required vaccinations well in advance with your primary care doctor. Purchase travel insurance to cover unexpected medical expenses and trip cancellations. Carry a basic first aid kit (or at the least, bandaids!) with essential medications.
Stay Connected
Inform family or friends about your travel plans and provide them with emergency contacts. Consider using communication apps (WhatsApp is a go-to) for easy and cost-effective international calls. Check your phone plan for international coverage or consider purchasing a local SIM card for seamless communication.
Research Local Culture and Customs
Familiarize yourself with the local customs, traditions, and etiquette. This enhances your cultural experience and ensures respectful interactions with locals. Research any cultural taboos or norms to avoid unintentional misunderstandings. Learning a few basic phrases in the local language can go a long way in fostering positive connections.
Pack Essential Documents
Ensure you have your passport, visa (if required), travel insurance, and any necessary permits. Make photocopies of important documents and store them separately. Save digital copies on cloud storage for easy access. Having a comprehensive document organizer can help keep everything in order. We chose to travel with laminated copies of our passports, just in case!
By following these steps with added considerations, you’ll not only plan a well-organized trip but also enhance your overall travel experience, making it more enjoyable and stress-free.
